Seamless Pricing Sync: Integrating SAP with Salesforce
Salesforce
Overview
About the Client
The client is a leading manufacturer specializing in the production of high-quality manhole covers. They offer a wide range of customized solutions designed to meet the unique needs of various industries. With a focus precision, they provide products that are built to withstand the demands of both urban infrastructure and industrial applications.
The Challenge
- The client worked on two separate systems: Salesforce for generating quotes and SAP for pricing—resulting in a lack of synchronization.
- This led to manual data transfers, which introduced errors and inefficiencies in the workflow.
- With pricing stored in SAP and quotes created in Salesforce, the process of manually transferring pricing information from one system to another often led to discrepancies between the two systems.
- Each step in the quote creation process, from pricing calculation to approval and quote generation, required manual intervention.
- Risking incorrect pricing and customer dissatisfaction. Inefficiencies and increased the likelihood of human error, ultimately hindering productivity.
Our Solution
- Blueflame Labs implemented a solution that involved integrating SAP and Salesforce, allowing pricing data from SAP to be directly imported into Salesforce. Eliminated the need for manual data entry, reducing the risk of errors and ensuring that pricing information was always up-to-date and synchronized across both systems.
- With the integration in place, when a quote is created in Salesforce, the system automatically fetches the relevant product pricing from SAP.
- Also, if the pricing was changed in SAP at any point after the quote was created, Blueflame Labs introduced a button on Quote that fetched the price from SAP and updated it on all the Quote Lines
- The system was designed such that for all the Quote Items, if the pricing was not fetched from SAP, the Quote PDF was not generated so it couldn’t be presented.
- This ensures that the correct and most recent pricing is used in quotes without manual intervention, improving the accuracy of quotes provided to customers.
- In cases where SAP does not provide pricing for a product, the system is designed to display an error message in Salesforce which ensures that both systems should be kept in sync.
Technology & tools used
Used Salesforce’s out of the box tools to establish a connection with SAP to allow and fetch pricing stored in SAP and configure the quotes in Salesforce accordingly. Blueflame Labs customized Salesforce to meet the client’s specific needs, ensuring scalability and efficiency.
Results
The Impact and outcome
- Error-Free Pricing: By integrating SAP with Salesforce, the pricing information is automatically fetched from SAP, ensuring that there are no manual errors in pricing data. This leads to consistent, accurate pricing for every quote generated.
- Elimination of Manual Transactions: With the automation in place, manual data entry and transaction handling are no longer required. This saves time and reduces the risk of human error, allowing employees to focus on more strategic tasks.
- Increased Speed and Efficiency: Integration allows for faster quote creation and processing since pricing information is readily available in Salesforce. This accelerates the entire sales cycle, improving overall business agility and responsiveness to customer requests.
- Simple and Efficient System Connectivity: The integration was built with simplicity in mind, ensuring that the connection between SAP and Salesforce is easy to maintain and manage. This reduced the complexity of the systems while enhancing their functionality, making the entire process more streamlined.
