The challenge       
  • The client faced significant challenges in managing contract lifecycle processes across multiple countries, particularly in calculating key milestones such as work anniversaries, without the ability to use coding or scripts within document templates. The client needed to apply conditional logic directly within the merge tags, but the lack of flexibility in the templates made it difficult to ensure accuracy and consistency when calculating contract milestones like work anniversaries based on the contract start date and duration.
  • In addition to the challenges with contract calculations, the client faced inefficiencies in their contract workflows. The approval processes, document generation, and clause management were not streamlined, resulting in delays and bottlenecks. The client needed a more integrated and optimized workflow solution to reduce manual tasks, improve collaboration, and ensure faster, smoother contract completion.

Our solution 

  • To resolve the client’s challenge with calculating work anniversaries, we researched and explored the functions supported by Word templates with merge tags in DocuSign CLM. We applied conditional logic within the templates, adding conditions based on the Contract Start Date and Duration to automate the calculation of work anniversaries. This approach ensured that anniversaries were calculated correctly for various contract durations, including different timeframes such as months, days, or years, without manual errors.
  • To address the workflow inefficiencies, we implemented automated workflows for approvals, document generation, and clause management, reducing bottlenecks and delays. By integrating the system with the client’s existing tools, we ensured smooth data flow across departments. Training sessions were conducted to help users adopt the optimized workflows and utilize the new form and document generation features, enabling faster contract processing and improving overall operational efficiency.
