With a focus on customer growth and technological advancement, they sought to develop a comprehensive Salesforce application to streamline business processes and establish a single, unified view of the customer across various Salesforce clouds, including Sales, Customer Success, Billing, CPQ, and Experience Cloud. One critical process that required optimization was Credit Note approvals within Customer Service.

Executive Summary

Blueflame Labs was engaged to address the complexities associated with Credit Note approvals for our client. The objective was to design and implement a global application on Salesforce to facilitate a simplified and standardized approval process, aligning it seamlessly across the organization’s Salesforce clouds.

Challenges

The existing approval mechanisms within Salesforce did not support the complex requirements for Credit Note approvals, necessitating the development of a custom solution. The key challenges faced were as follows:

Our Solution

Working closely with the client, Blueflame Labs implemented a comprehensive solution leveraging Salesforce’s CPQ Advanced Approvals package. Here’s how we addressed each challenge:

  1. Approval Process Design: We developed a tailored approval chain and implemented multiple approval rules and conditions for each step, ensuring a flexible and customizable Credit Note approval process based on various criteria.
  1. Dynamic Approvers: We configured the system to assign approvers dynamically based on specific fields within the Credit Note, allowing for a seamless and efficient approval workflow.
  1. Email Approvals: We created Visualforce (VF) email templates and configured an Email Service, enabling approvers to approve or reject Credit Notes conveniently via email.
  1. Approval Tracking: A customized dashboard was developed to provide a real-time view of approval statuses. This empowered supervisors and relevant stakeholders to identify pending approvals promptly and take necessary actions. Additionally, we set up workflow rules to trigger automated reminders to approvers based on defined Service Level Agreements (SLAs).
